
In our fast-paced world, finding ways to work smarter, not harder, is a key to success. One of the most effective strategies I’ve found is batching similar tasks together. This simple and yet powerful approach can save you time, increase your focus, and boost your productivity. I can’t tell you how much I love to batch tasks when I can. In fact, I’m doing it right now.
What is Task Batching?
In case you don’t know what it is, task batching involves grouping similar tasks and completing them in one dedicated time block. Instead of bouncing between different activities, you focus on one type of task until it’s finished, then move on to the next batch. For example, instead of checking emails sporadically throughout the day, set aside specific times to go through your inbox and respond to messages. Instead of writing one blog post and creating one video each day, you’d set aside one day to write blog posts, and another day to create videos. Like I mentioned above, I’m doing that right now. I wrote another blog post right before this one, and when I finish this post, I plan on writing the next one.
How Task Batching Saves Time
Switching between tasks can be surprisingly time-consuming. Every time you shift gears, your brain needs a moment to adjust, which can add up throughout the day. By batching tasks, you minimize the time lost in these transitions. Plus, there may be things you don’t think about that you need to get set up for each task. For example, if you’re going to be creating videos, you’ll have to set up something to record them. You’ll want to make sure you look “camera ready”. I’m sure that there’s more that you’ll want to do each time as well. This way, once you’re set up to do a certain task, you do it multiple times before you move on to something else.
Getting “In the Zone”
One of the biggest benefits of batching tasks is the ability to get “in the zone” or into a state of deep focus. When you’re not constantly switching between different types of work, your mind can fully engage with what you’re doing. This leads to higher-quality work and a more satisfying sense of accomplishment. For instance, if you’re writing blog posts, setting aside a few hours to draft several at once can result in more cohesive and well-thought-out content.
I can’t tell you how much more accomplished I feel when I batch tasks. In just a few hours I can get enough blog posts done to last me several days. I can record a bunch of videos at once, and then post them over the next few weeks. I not only accomplish more, but it makes me feel like I’m really doing good work.

– Set Time Blocks: Designate specific blocks of time in your day for each batch. Make sure these blocks are long enough to complete the tasks but not so long that you lose focus.
– Minimize Distractions: When you’re working on a batch, try to eliminate distractions. Turn off notifications, close unrelated tabs, and let others know you’re in a focused work period.
– Evaluate and Adjust: After trying task batching for a while, evaluate its effectiveness. You might need to adjust the length of your time blocks or the tasks you batch together.
